To use
Message Pad please follow the instructions listed below.
Sending a Message Pad message
Message Pad is fully integrated with Outlook. Access it from either
the Outlook toolbar or from the Outlook Actions menu as shown in
Fig. 1 and 2 below.

With Outlook running,
select the Message
Pad option from either the toolbar or the Actions menu and you will
be presented with the Message Pad dialogue window as shown in Fig
3.

You may now complete the
message details offered by the caller, address and send.

Caller - caller's
name
-
Company - caller's
company name
-
Phone - caller's
phone number
-
Left at -
date/time the message was left
-
Subject - subject
of call
-
Actions - select
one or more actions that apply to this message.

Priority - select
low, normal or high priority

Reminder - select
a reminder period for this message. This will display a reminder to
the recipient at the time delay configured.

Message - enter a
message if required.

Send format - if configured to make a selection, you may
choose to send the message in HTML or Text format

Send as - if
configured to make a selection, you can choose the type of
message(s) to be sent
a) Select Email -
this will send the Message Pad message an email message in the
format selected
b) Select Task
- this will send the Message Pad message as a task item to appear
in the recipients To-Do-List with an action date of today.
c) Select SMS -
this will send the Message Pad message as a SMS message to the
user's configured cell phone (requires eMercury SMS Services).
Note: If no
message type is selected, the message will be posted to your
Message Pad folder to be retrieved from Outlook or distributed
under Message Pad Management. This feature is useful when non
important messages are taken and can be distributed together at
the end of the day in a summary report.

Address - select
the address of the message recipient.

Only post to your private
folder - when unchecked posts a copy of the message in the
configured public folder for access by the user's workgroup (requires Microsoft Exchange).
Please Note: It
is not possible to send a self addressed Message Pad message. If you
try to self address, Message Pad will display a warning message
providing you with options depending upon the type of message being
sent.
Reviewing sent messages
For all messages that you send, a copy is posted into a Message Pad
folder in Outlook for reference. This Outlook folder can be a
private folder, a public folder or both.
Personal Folder
The
Personal Message Pad folder is a personal folder for just your
access and contains only those messages generated by you. This
folder is called 'Message Pad Posts' and is a sub folder of your
Outlook's 'Sent Folder' (see Fig. 4 below).
When you send a
Message Pad message and you are configured to post messages to
either your private folder or both folders then a copy of the
message will be stored in this folder for your review.

Public (workgroup) Folders
Message
Pad may also be configured to post messages to a shared public
folder if you are working in a workgroup.
All members of
the workgroup will have access to all Message Pad messages sent by
any member of that workgroup. This provides the benefit that if
someone were to call in for their messages, any member of the
workgroup could access all their messages including those not taken
personally. It also allows Summary Reports to be printed of messages
taken by all members of the workgroup for a given individual and
distributed.
The location of
this shared Message Pad folder depends upon what has been configured
on your system for shared workgroup use.
When you send a
Message Pad message and you are configured to post messages to
either your workgroup folder or both folders then a copy of the
message will be stored in the configured workgroup folder for your
review.
Public (workgroup)
Folder support requires you to be connected to MS Exchange and a
shared workgroup folder to be set-up for your use.
